Shootbin uses five access types for project owners, clients, collaborators, and agency staff. Four are assigned directly to a project. An Account Seat belongs to an Agency account and receives owner-level access across that account’s projects.

Roles at a glance

Owner

Full control over one project and its settings, members, photos, review workflow, and delivery.

Approver

Reviews photos, adds annotations, approves or rejects images, and sends the project back for edits.

Guest

Read-only access to albums and photos, without review, upload, or management actions.

Second shooter

Creates albums and uploads photos for the project owner, without access to review or project management.

Account Seat

Gives an Agency team member their own login with owner-level access to all projects in the Agency account.

Permissions at a glance

Account Seat is an account-level access type, not a role you select in a project invitation. It is included here because it determines what an Agency team member can do inside projects.

Role permissions in detail

The Owner is the photographer or studio account that created the project. There is one Owner per project.What the Owner can do:
  • Create and configure the project
  • Create albums and upload, update, or remove photos
  • Manage revision history, review rounds, contracts, and payment requirements
  • Invite Approvers, Guests, and Second shooters, change their roles, and remove them
  • Start and manage review and delivery workflows
  • View project history and use project messaging
  • Manage account features such as billing, branding, and Account Seats

Invite a project member

Use a project invitation for an Approver, Guest, or Second shooter. Account Seats are created separately from the Agency owner’s profile.

Open project settings

Inside the project, go to Settings.

Open the Members section

Find the Members section in the project settings.

Enter an email address and choose a role

Enter the person’s email address. Select Approver, Guest, or Second shooter.

Send the invitation

Click Invite. Shootbin sends an email with a signed invitation link. New users can create an account when they accept.
Project invitations only grant access to that project. Invite the same person separately if they need access to another project. Use an Account Seat when an internal Agency team member needs owner-level access across every project.

Change or remove a project member

Open Settings → Members in the relevant project. From the member list, you can change a project member’s role or remove their access. Removing a member revokes their access to that project immediately.

Plan limits

Project member limits apply per project. The Account Seat limit applies to the entire Agency account.
If you reach a member limit, Shootbin blocks the invitation until you remove an existing member or upgrade. Account Seats are available only on the Agency plan.
