# Set a project review deadline

> Set a final date and time for client review, send automatic reminders, and handle extension requests after the deadline.

Project deadlines give clients a clear final moment to submit their review. Shootbin shows the deadline on the project dashboard, warns the client as it approaches, and closes review actions automatically when time runs out.

<Info>
  Project deadlines are available with the **Studio** and **Agency** plans. They are not included with Hobby.
</Info>

    Enter the exact date and time, or use the quick-selection slider to choose a day within the next 30 days.
  </Step>

  <Step title="Save the project">
    Click **Save changes**. Approvers receive a notification when you add or change the deadline.
  </Step>
</Steps>

You can change an active or expired deadline at any time. Switch the feature off and save the project if you no longer want to enforce a deadline.

## What clients see

The project dashboard shows the exact deadline in a label with the <Icon icon="calendar-clock" /> calendar-clock icon. Clients can select the label to read a short explanation.

During the final three days, the dashboard also shows a red warning with the remaining days and hours. Shootbin updates this countdown automatically.

<Note>
  The deadline label and warning only appear on the project dashboard. They do not appear on other pages in the signed-in area.
</Note>

## Automatic reminders

Shootbin sends approvers an email reminder three days, two days, and one day before the deadline. Each reminder is sent once. A reviewer who has disabled project email notifications does not receive these emails.

Reminders stop when the project has already been delivered, archived, or sent back after review.

## When the deadline expires

At the selected date and time, Shootbin closes the client review automatically.

| Role | What happens after the deadline |
| ------------- | ----------------------------------------------------------------------------------------------------- |
| Project owner | Keeps access and can change, extend, or remove the deadline |
| Approver | Can open the dashboard, but cannot approve, reject, rate, annotate, send back, or complete the review |
| Guest | Can no longer access the project |

Messages remain available, so the client and photographer can still discuss the project. Shootbin notifies the project owner and approvers when the deadline expires.

## Request an extension

An approver sees **Request extension** on the dashboard after the deadline expires. Selecting it sends the project owner a notification.

The owner can then open **Project settings**, choose a new date and time, and save the deadline. Once the new deadline is in the future, the approver can continue the review.

Shootbin sends only one extension notification per approver for the current deadline. Changing the deadline resets the request, so the approver can submit a new request if needed.

<Tip>
  Agree on the deadline with your client before you send the project for review. Include it in your contract together with the number of included review rounds.
